2014 Annual Conference – Important ALCTS/ALA Planning Deadlines
Important: Please use this form to submit your event information by the deadlines shown below.
October 28, 2013 - Program Information Deadline
Include title, description, confirmed speakers, etc. This information will be reviewed by the ALA Conference Planning Team.
November 6, 2013 - Preconference Information Deadline
Include (final) title, date, time, description, confirmed speaker names and titles, etc. This information will be submitted for conference registration material.
January 2014 – Virtual Program Committee Meeting
Program and Preconference planners will meet virtually with the Program Committee to discuss your event. The Program Committee Co-Chairs will contact you to schedule a virtual meeting.
February 5, 2014 – Last Day to Submit Changes to Program Information
This includes changes to the program title, description, speakers, etc. Changes will appear in the ALA Annual Conference Preliminary Program Book.
February 21, 2014 – Special AV Request Deadline
Deadline to submit special AV requests, that go beyond the ALCTS *standard AV setup. All requests are subject to approval by the ALCTS Executive Director and ALA Conference Services.
* Standard AV Setup: 1 Screen, 1 LCD Projector, 1 Computer, 1 podium with microphone
March 1, 2014 – Speaker Contact Information Deadline
Submit your speaker contact information to ALCTS Office by this date. Include speaker name, title, affiliation, street address and email address. The Office will use this information to send speaker agreement letters.
April 2014 – Room Assignments will be Posted
The Annual Conference schedule with room assignments will be posted to AL A Conference Web Site.
May 28, 2014 – Preconference Handouts Deadline
Submit preconference handout files to the ALCTS Office by this date. This should include an agenda, speaker bio’s, and presentation handouts. The Office will make copies and pack the material in the ALA Conference Trunks that are shipped to the Convention Center.
June 4, 2014 – Program Handouts for Print Deadline
Program planners have the option of submitting a 1-2 page handout to the ALCTS Office for reproduction. The handout should include basic information about the program, such as program title, speaker information, presentation title, abstract, etc.
June 18, 2014 – Deadline to Post Online Program Handouts
Program planners should post presentation files to the ALA Conference Scheduler by this deadline. Participants will be told to look for handout files in the Scheduler prior to Conference.
